What Low Storage Device Detection does

Low Storage Device Detection is Harmony's automated monitoring workflow for identifying company-owned devices that are critically low on disk space. Running on a configurable schedule, Harmony queries for devices below a storage threshold, optionally sends direct notifications to device owners prompting them to free up space, and creates an IT desk ticket with a CSV report of the most critically low devices. Critically low storage can cause system failures, data loss, and prevent security updates from applying - this workflow ensures IT and device owners are alerted before problems escalate.

Pain point

Low storage on a device rarely announces itself until something breaks - an update fails to install, an application crashes, or a device becomes unusable. Without automated monitoring, IT only learns about low storage devices from reactive tickets filed after the impact is already felt. This workflow detects at-risk devices proactively and can prompt owners to act before reaching the critical threshold.

How Low Storage Device Detection Works

Trigger

A cron schedule fires (default: daily at 8 AM UTC). Schedule and timezone are configurable per tenant.

  1. Query low storage devices

    The workflow queries device management for all company-owned devices below the storage threshold. If owner notifications are enabled, the query uses the (less strict) notification threshold to catch devices earlier; otherwise it uses the ticket threshold.

  2. Owner notifications (optional)

    If notifications are enabled, Harmony sends a direct message to each device owner whose device is below the notification storage threshold (default: ≤10% free space), asking them to free up disk space. A per-device frequency gate (default: 7 days) prevents repeat nudges. VIP employee exclusion is configurable.

  3. Ticket filtering

    Devices at or below the stricter ticket threshold (default: ≤5% free space) are isolated from the broader query, with notification status merged in.

  4. CSV report

    All ticket-threshold devices are serialized into a CSV report (low_storage_devices_report), including a "Last Notification" column showing when each owner was last notified.

Outcome

A ticket titled "Devices With Low Storage Detected" is created in the IT desk with the CSV attached.

Capabilities

  • Two-threshold architecture - Operates on a less-strict notification threshold (default: ≤10% free space) and a stricter ticket threshold (default: ≤5%), so device owners get an early warning before their device appears in the IT escalation queue.
  • Percentage and absolute MB thresholds - Supports storage thresholds defined as a percentage of total disk capacity, an absolute minimum available MB, or both - giving flexibility for devices of different sizes.
  • Direct owner notifications - Sends a Slack or Teams DM to the device owner prompting them to free up space, enabling self-service action before IT needs to intervene.
  • Notification frequency gate - Tracks when each device was last notified and suppresses repeat messages within the configured window (default: 7 days per device).
  • VIP employee exclusion - Configurable option to skip notifications for employees marked as VIP.
  • CSV report with notification history - The IT ticket CSV includes a "Last Notification" column so IT knows which owners have already been nudged.
  • Configurable schedule - Cron schedule and timezone are fully configurable per tenant (default: daily).
  • Ticket toggle - Ticket creation can be independently disabled if the tenant only wants owner notifications.

Proactive Storage Health Monitoring - IT wants daily visibility into any company laptop with less than 5% free disk space, before those devices start throwing errors. The daily workflow detects critically low storage devices, notifies owners who are approaching the threshold (≤10%), and creates an IT ticket for devices that have crossed the critical level (≤5%) - IT has a fresh work item each day and owners have already been nudged.

Large Software Deployment Pre-Check - IT is about to push a 4 GB software package to the entire fleet. They need to know which devices don't have enough free space to receive it. The storage threshold can be temporarily adjusted to reflect the required free space, generating a targeted report of at-risk devices before the deployment.

Proactive Employee Self-Service - IT wants employees to clean up their own devices before requiring IT intervention. With notifications enabled at the 10% threshold, device owners receive a DM asking them to free up space before their device reaches the 5% critical level and creates an IT ticket. Many employees resolve it themselves, reducing IT's workload.
